Welcome to Mosaic Travels. These Terms and Conditions govern the services provided by our office. By engaging our services, you agree to comply with and be bound by these terms.

  1. Scope of Services

Mosaic Travels provides visa application assistance, document preparation, appointment scheduling, and consultation services. Our services do not guarantee visa approval. The final decision is at the discretion of the relevant immigration authority.

  1. Fees and Payment
  • Service Fees: Our fees for visa assistance are outlined on our website and in our service brochures. Fees are payable in advance of service delivery.
  • Visa Fees: Visa fees are non-refundable regardless of the outcome of the visa application. This includes any fees paid directly to the embassy or consulate.
  • Additional Costs: Any government application fees, consular fees, or other third-party charges are not included in our service fees and must be paid directly to the respective authorities.
  • Payment Methods: We accept payments via visa cards, bank transfer, cash… All payments must be made in full before service commencement.
  • Refund Policy: Service fees are non-refundable once services have commenced. Refunds may be considered on a case-by-case basis for cancellations made before services have started.
  1. Appointment Scheduling and Attendance
  • Scheduling: We will assist in scheduling visa-related appointments as part of our service. Appointments are subject to availability and are scheduled based on the earliest available slots.
  • Attendance: applicant is responsible for attending scheduled appointments on time. Failure to attend or reschedule an appointment may result in delays and additional fees.
  • Rescheduling and Cancellations: Any request for rescheduling or cancellation of appointments must be made in writing at least 3 days before the appointment date. We will assist with rescheduling where possible but cannot guarantee availability.
  1. Booking Reservations
  • Purpose of Reservations: Bookings for flights, hotels, and other travel-related services provided by us are intended solely for visa application purposes. These reservations are provisional and may need to be confirmed by the relevant embassy or consulate.
  • Confirmation Requirements: Some embassies or consulates require confirmed bookings (e.g., hotel reservations and flight tickets) for visa processing. It is your responsibility to provide any additional required confirmations as per the specific embassy or consulate’s requirements.
  1. Travel Insurance
  • Purpose and Compliance: Travel insurance provided through our services is intended solely for the purpose of visa applications. It must comply with the requirements set by Schengen country rules and regulations. You are responsible for ensuring that the insurance coverage meets the specific requirements of the visa application.
  1. Application Processing
  • Processing Times: We strive to complete the visa application process within the estimated time frames. However, processing times may vary based on the immigration authority’s timelines and other factors.
  • Delays: We are not responsible for delays caused by the immigration authority or any other external factors. We will keep you informed of any significant delays.
  1. Document Requirements
  • Client Responsibilities: the applicant responsibility to provide accurate, complete, and timely information and documents as required for your visa application. We are not liable for delays or rejections caused by incomplete or incorrect information provided by you.
  • Document Handling: We will handle your documents with care and ensure they are used solely for the purpose of your visa application.
  1. Confidentiality and Data Protection
  • Data Use: Applicant personal data will be used exclusively for processing your visa application and will be handled in accordance with applicable data protection laws.
  • Confidentiality: We will take reasonable measures to protect your personal data from unauthorized access and disclosure.
  1. Responsibilities and Liabilities
  • Accuracy: While we make every effort to ensure accuracy in our services, we do not guarantee visa approval. The decision lies with the immigration authorities.
  • Limitation of Liability: Our liability is limited to the amount paid for the services. We are not liable for any indirect, incidental, or consequential damages.
  1. Visa Issuance and Validity
  • Visa Issuance: Once a visa is issued, it is your responsibility to verify the details, including the validity dates and the conditions of entry. We are not responsible for any errors in the visa issued by the immigration authority.
  • Visa Validity: The validity of the visa is determined by the immigration authority and is subject to their regulations. It is your responsibility to comply with the visa’s validity period and conditions.
  1. Cancellation and Refund Policies
  • Cancellation: applicant may cancel our services by providing written notice. Service fees will not be refunded once services have commenced.
  • Refunds: Refund requests must be submitted in writing and are subject to approval. Non-refundable fees include visa fees, and any other fees already incurred.
  1. Dispute Resolution
  • Complaints: Any complaints or disputes should be submitted in writing to Mosaic Travels at mosaic.ksa@outlouk.com We will endeavour to resolve issues promptly and fairly.
  • Governing Law: These terms and conditions are governed by the laws of Saudi Arabia Any legal disputes will be handled in the competent courts of Riyadh.

We reserve the right to amend these terms and conditions at any time. Changes will be effective immediately upon posting on our website. It is your responsibility to review these terms periodically.
